About the Job

The Accessioning Systems Specialist maintains the functionality of systems utilized in the fast-paced Clinical Laboratory Improvement Amendments-certified clinical laboratory. This position provides troubleshooting, maintenance, and training to the Accessioning team on systems, and ensures procedures relating to systems are streamlined. This position helps systems-related processes perform in accordance with regulatory requirements.

Key Responsibilities

  • Write Accessioning Standard Operating Procedures (SOPs), including new SOPs and updates or revisions to existing SOPs; sign-off on SOPs to document knowledge and agreement.
  • Prepare Document Accessioning Non-Conformances, including the initiation and investigation of an escalated incident.
  • Train employees on new procedures and ensure that staff is sufficiently trained to perform assigned tasks.
  • Meet with internal and external stakeholders regarding laboratory processes to ensure alignment.
  • Mentor Accessioning team members on best systems practice and provide development initiatives.
  • Provide input and recommendations to improve daily operations in accessioning and/or in the laboratory as a whole.
  • Respond to laboratory information management systems (LIMS) and customer relationship management systems (CRM) malfunctions; document cause and solution to all laboratory system malfunctions.
  • Identify and lead process improvements to streamline operations and optimize workflows.
  • Design, in partnership with Quality Assurance, compliance adherence initiatives.
  • Complete routine assessments of adherence to safety protocols in the laboratory and execute upon steps designed to ensure these protocols are maintained.
  • Be “embedded” in the CRM and LIMS development teams to ensure new and updated software capabilities are fit for purposes of the Accessioning Team.
  • Work with the Commercial Team to support the use of Electronic Procurement and Invoicing Center (EPIC) generated requisitions in addition to the FMI Test Requisition Forms.
  • Represent Accessioning department in meetings and project groups.
  • Lead integration of new systems updates.
  • Other duties as assigned.

Qualifications

Basic Qualifications

  • High School Diploma or General Education Degree and 7+ years of experience working as an Accessioning Technician in an Accessioning department in a laboratory or other clinical diagnostics setting; OR,
  • Bachelor’s Degree and 2+ years of laboratory experience in a CAP/CLIA environment
  • 2+ years of experience with a Laboratory Information Management System (LIMS) and Client Relationship Management System (CRM systems)

Preferred Qualifications

  • Bachelor’s degree
  • 8+ years of professional experience with accessioning and/or anatomic pathology
  • 4+ years of experience working in an accessioning department in a CAP/CLIA laboratory environment
  • Proven track record working as a subject matter expert in an Accessioning Department
  • Demonstrated experience handling multiple tasks at once
  • Demonstrated experience working within tight timelines for successful execution of project and program goals
  • Knowledge of medical terminology, specifically anatomic pathology specimen descriptions
  • Ability to work well under pressure while maintaining a professional demeanor
  • Ability to prioritize and thoroughly follow up on assigned tasks
  • Ability to adapt to changing procedures, policies and work environment
  • Ability to work independently as well as collaborate with peers in a fast-paced and cross-functional results-oriented team environment
  • Excellent computer/data entry and verbal and written communication skills
  • High attention to detail and strong organizational skills
  • Understanding of HIPAA and importance of privacy of patient data
