About The Job

The Analyst, Accounts Payable focuses on monitoring and analyzing vendor payables, conducting employee expense management and reporting, completing customer invoices, and supporting ad hoc financial tasks. This position provides external vendors with customer service, payment information and account reconciliation, is responsible for ensuring expenses are accurate and that vendors and suppliers are paid within established time limits.

Key Responsibilities:

  • Manage day-to-day processing of accounts payable transactions and customer invoicing. to ensure that finances are maintained in an effective and accurate manner.
  • Verify received invoices and requisitions for goods and services.
  • Verify transactions comply with financial policies and procedures.
  • Code, process and post invoices for payment.
  • Process reports after data entry and as necessary on a scheduled basis.
  • Manage the weekly check run.
  • Process wire payments, returns and stop payments.
  • Voids checks and re-issues payments as necessary.
  • Match invoices to checks, obtain all signatures for checks, and mail checks accordingly.
  • Manage 1099-MISC Tax Forms.
  • Reconcile vendor statements, research and correct discrepancies.
  • Run monthly aging reports and research discrepancies.
  • Assist in the monthly close.
  • Research and respond to vendor inquiries.
  • Sort and distribute incoming paper and electronic mail for the Accounts Payable inbox.
  • Provide purchase order information to users and assist in tracking PO balances.
  • Partner closely with Cost Accounting to record proper Accounts and Inventory Receipts.
  • Maintain document retention information with designated selected vendor.
  • Execute steps of the audit process as needed.
  • Provide departments and Administrative Assistants with training and guidance.
  • Assist in assigned departmental initiatives.
  • Other duties as assigned.

Qualifications

Basic Qualifications:

  • Bachelor’s Degree in Accounting, Business or Finance.
  • 3+ years of prior work experience with general ledger systems.

Preferred Qualifications:

  • 5+ years of progressively responsible experience with general ledger systems.
  • 3+ years of professional experience:
    • with Microsoft Dynamics Great Plains and Concur
    • working in a detailed monthly close environment
    • applying accounting principles on a day-to-day basis
    • completing documentation, research and resolution
  • Proficiency in Outlook, Microsoft Word and Excel.
  • History of effective time management, organization, prioritization and multitasking.
  • Strong work ethic, motivation, and reliability demonstrated by examples of thorough work and meeting or exceeding project deadlines.
  • Demonstrated history of effective problem solving.
  • Strong collaborative skill set, demonstrated by creative and effective contributions in cross-functional or cross-departmental partnerships.
  • Demonstrated attention to detail and high level of accuracy.
  • Effective and clear verbal and written communication.
  • Agreement to maintain confidentiality as it pertains to company information.
  • Exposure to a Sarbanes-Oxley environment related to compliance, enforcement and education.
  • Understanding of HIPAA and the importance of patient data privacy.
