About the Job

The People Experience Associate is responsible for the day-to-day administrative support pertaining to FMI candidates and employees, and administers effective delivery of transactional employee procedures across the employee lifecycle. This role is responsible for enhancing the quality and efficiency of candidate and employee experiences throughout touchpoints of the employee journey from hire to retire. People Experience Associates focus on the successful execution of HR transactions such as hiring administration, interview scheduling, onboarding, relocations, promotions, transfers, and terminations.  

Key Responsibilities

• Process Employee Transactions such as:

  • Continual maintenance of electronic employee records including promotions, transfers, manager changes, org design changes, and terminations.
  • Onboarding including background checks, I-9 verification, and HRIS record creation.
  • Collection, processing and management of immigration paperwork.
  • Administration of relocation and global mobility transactions.

• Coordinate Talent Acquisition Activities:

  • Provide operational support to the Talent Acquisition department with the primary area of focus on supporting the Talent Acquisition/Recruiting function.
  • Complete face-to-face and phone interview scheduling for all divisions.
  • Send general correspondence to candidates.
  • Coordinate travel arrangements for candidates.
  • Enter confidential data related to candidates and requisitions in the Applicant Tracking System (ORC).
  • Assist with welcoming candidates and preparation of conference rooms.

• Support Data and Reporting for People Team:

  • Maintain integrity, confidentiality, and security of employee data in accordance with local and international data privacy laws and standards.
  • Ensure accuracy of employee records across multiple systems and data warehouses when processing transactions.
  • Respond to standard reporting requests from People Team swiftly and accurately.
  • Under direction of People Experience Lead, assemble information for regulatory audits.

• Additional Responsibilities:

  • Respond to incoming employee queries in a timely manner, with standard information regarding People Team department practices and procedures
  • Act as a first point of contact for active employees to help resolve queries or provide direction.
  • Update policies and procedures as needed.
  • Identify opportunities for process and experience improvements.
  • Assist with organization and management of electronic personnel files including routine audits and purging files to ensure HR retention.
  • Act as a primary responder to People Experience email and slack channels to ensure a high level of customer service.
  • Other duties as assigned


Basic Qualifications

• Bachelor’s Degree, or in lieu of a Degree 4+ years of office administrative or customer facing work experience, AND:

• 2+ years of experience in human resources operations, shared services, process improvement, administrative, customer service or related fields

• Proficiency in Microsoft Office Suite

Preferred Qualifications

• Prior experience working with confidential or sensitive data

• Experience using Oracle HRM Systems

• Strong organizational skills and excellent attention to detail

• Excellent customer service skills and a “can-do” response to internal and external customers

• Comfort working in a fast-paced and changing environment
