Immigration & HR Specialist

About the Job

The Immigration and HR Specialist is primarily responsible for ensuring that FMI complies with U.S. immigration and related regulations in connection with its foreign national (FN) candidates and employees. The Immigration and HR Project Specialist partners and works closely with People Team members to accomplish FMI’s business goals. This position also partners with internal managers and team members from other internal FMI teams (including Talent Acquisition and Employment Law) as well as outside Immigration counsel. This role assists with compliance reporting, process improvement initiatives and people operations day-to-day support.

 

Key Responsibilities

  • Manage all aspects of FMI’s U.S. immigration program and serving as the central internal “Point of Contact” for U.S. immigration issues.
  • Assist FN candidates and employees in connection with U.S. immigration requirements.
  • Serve as a central point of contact for all immigration questions and for providing thoughtful and consistent responses based on established FMI policies.
  • Collaborate with internal managers and stakeholders within the People Team, Talent Acquisition, management, and Employment Law to clarify issues and achieve consensus before raising or escalating issues to outside Immigration counsel.
  • Develop policies, processes, and procedures for the U.S. immigration program and disseminate information about those policies and processes throughout the FMI community.
  • Develop processes to track status of work visas, work authorizations, and permanent residency applications.
  • Advise People Team, managers, and employees as needed on immigration requirements, processes, and updates.
  • Manage internal recruitment in connection with Labor Certification/PERM matters and assisting in the review of all resumes received in connection with such cases.
  • Create and maintain an internal portal with visa/work authorization information for employees.
  • Serve as a “subject matter expert” on U.S. immigration, I-9, and E-verify requirements.
  • Maintaining I-9 Compliance upon work authorization changes and providing updates on the HRIS.
  • Seeking continuous improvement and finding ways to streamline processes and improve the experience for FN candidates and employees.
  • Assistance with various projects within the People Team including, but not limited to compliance reporting, process improvement, and processing people operations transactions.
  • Other duties as assigned.

Qualifications

Basic Qualifications

  • Bachelor’s degree in Human Resources, Business, Social Sciences, or a closely related field
  • 5+ years of experience running an in-house U.S. immigration program
  • Thorough understanding and working practice of all immigration laws, procedures and deadlines, particularly those related to H-1b, J-1, OPT, PERM, TN, and I-9 compliance
  • Proficient with Microsoft Office (Excel, Word, PowerPoint) and willingness to be trained on immigration databases and related technology

Preferred Qualifications

  • Experience in life sciences industry, working with an international, multi-cultural workforce
  • Experience in Human Resources and/or within a Legal department
  • Experience working with data and reporting
  • Ability to interpret immigration laws and advise on visa availability and visa portfolios
  • Project management skills
  • Ability to multi-task and work independently
  • Excellent interpersonal and client service skills
  • Excellent verbal and written communication skills
  • Strong organizational skills and high attention to detail
  • Excellent problem-solving skills, as well as strong advising, conflict resolution, and consensus-building skills
  • Understanding of HIPAA and importance of privacy of patient data
