Practice Administrator

About the Job

The Practice Administrator (PA) of the Pathology and Diagnostic Medicine (PDM) Service strives to efficiently and reliably deliver the highest quality clinical diagnostic test results to cancer patients while transforming cancer care today and simultaneously shaping the future of tomorrow.

The Practice Administrator provides direct administrative, operational and organizational support to PDM leadership, which includes CLIA Laboratory Directors and Senior Director/Medical Operational Site Leads across multiple laboratories, as well as to the broader PDM team of anatomic, clinical, and molecular pathologists, project managers, and research assistants.

Key Responsibilities

  • Plan, create, and maintain the diagnostic medicine clinical service coverage schedule for the pathologists on the team.
  • Partner with adjacent Laboratory Operations functional leaders to modify clinical service coverage schedule to ensure PDM capacity meets fluctuations in demand.
  • Support pathology regulatory compliance and licensing requirements with creation of timetables, maintenance of records, and assistance with paperwork and other related correspondence.
  • Handle data collection, analysis, and graphic presentation of pathology daily management & service metrics.
  • Facilitate onboarding of new hires to the PDM team (administrative, operational and logistical aspects).
  • Coordinate, schedule, and support internal and external meetings with solicitation of agenda items, circulation of agendas, synthesis and distribution of minutes, and follow-up on action items.
  • Perform high-level administrative tasks and project management assignments that support PDM initiatives.
  • Support internal and external educational initiatives led by PDM staff.
  • Coordinate travel arrangements (eg. airfare, housing, transportation) for pathologists and assist with expense submissions.
  • Support abstract and manuscript submissions to national/international society meetings and journals.
  • Function at proficient level with electronic mail systems, outlook, power-point, spreadsheets, and remote meeting functionality.
  • Perform other duties as assigned.

Qualifications

Basic Qualifications

  • Bachelor’s Degree
  • 5+ years of administrative practice leadership experience

Preferred Qualifications

  • Master’s Degree
  • 5+ years of administrative practice leadership experience in a clinical/laboratory setting
  • Experience engaging medical or laboratory professionals, especially within a clinical testing laboratory setting
  • Ability to self-organize and operate effectively without day-to-day oversight, while staying tightly connected to key leaders and teams
  • Ability to successfully manage multiple concurrent initiatives, integrate organizational priorities and deadlines, and independently maintain one’s own workflow and timelines
  • Ability to consistently meet deadlines and respond to team needs in a timely manner
  • Ability to analyze situations accurately and take effective action
  • Ability to work well under pressure while maintaining a professional demeanor
  • Proficient in Microsoft Outlook, Word, Excel, Powerpoint
  • Excellent communicative (written and oral), interpersonal, and organizational skills, with attention to detail, record maintenance and confidentiality
  • Process-oriented, flexible mindset, collaborative approach to problem solving
  • Understanding of the Health Insurance Portability and Accountability Act (HIPAA) and the importance of patient data privacy
