About the Job

The Supervisor, Accessioning is a people leader responsible for ensuring that work in FMI’s Accessioning Lab is performed in accordance with all applicable regulations, including Clinical Laboratory Improvement Amendments (CLIA), College of American Pathologists (CAP), New York state guidelines, and other regulatory bodies. This position demonstrates effective leadership centered around vision to guide change in the Accessioning team and manage the team’s productivity within Lab Operations. This role is also responsible for coordination and supervision of all accessioning functions and meets corporate and functional goals for turn-around-time (TAT), implementing stable and streamlined processes, budgeting, and performance management. The incumbent ensures the best end to end customer experience by managing the flow of samples coming into FMI’s laboratories, including both the intake and return processes. The Accessioning Supervisor is responsible for staff scheduling, as well as the professional development and support of all Accessioning Technicians, and works across disciplines with Clinical, Client Services, Lab Operations, Directors and other Supervisors.

This is a regulated position and additional information may be available from QA on the qualifications for this role pertaining to regulatory guidelines.

Regular onsite work at a designated FMI location is an essential function of this role.

Key Responsibilities

• Lead the Accessioning team to accurately plan and supervise the daily operation of the Accessioning department to ensure that schedules are maintained, all deadlines are met in a compliant manner, and operational efficiency is achieved.

• Lead specimen intake with engrained quality to log in and track patient orders and samples in the LIMS system (Lab Management System).

• Establish and routinely evaluate Key Performance Indicators (KPIs) to provide input and recommendations that improve daily operations for operational excellence and to ensure the effective use of resources.

• Lead by example, interview, and participate in hiring of top talent Accessioning Technicians, training and mentoring.

• Provide daily feedback, formal one on ones and mentorship to Accessioning Technicians, draft and deliver performance reviews, support Individual Development Plans (IDPs) and ensure compliance with FMI expectations.

• Coordinate Accessioning team duties, including assignments and administration of functions, including network (across all-site) collaboration.

• Proactively provide input and recommendations that improve daily operations and ensure the effective use of resources.

• Collaborate across-sites and -functions (Massachusetts, North Carolina, San Diego, Germany) to ensure the highest quality standards are maintained.

• Ensure patient and physician inquiries receive active timely responses, this includes sample return.

• Oversee the management of new and existing standard operating procedures (SOPs) while ensuring compliance.

• Maintain proper regulated documentation including proper specimen handling, labeling, and preparation of worksheets.

• Ensure specimen identification and integrity is maintained throughout all processes; communicate, and rectify immediately if any issues arise.

• Promote and role model accuracy and integrity of specimen processing functions.

• Always enforce proper safety measures, including pandemic procedures and disposal and labeling of biohazard waste.

• Ensure Quality and Regulatory compliance is always followed, along with corporate safety policies.

• Participate in biohazard, chemical, radiation safety, and other education programs.

• Understand the inner workings of the department, needs, and assist with accessioning schedule changes, including weekend or off-hours work.

• Work in a lab environment using chemicals and reagents as an essential on-site employee.

• Collaborate with other departments and colleagues for problem solving.

• Perform other duties as assigned.


Basic Qualifications

• High School Diploma or equivalent General Education Degree

• 8+ years of experience working in a biotech, healthcare or supply chain role

• 2+ years of experience in a team lead or supervisory role

Preferred Qualifications

• Bachelors’ Degree

• 9+ years of experience working in a CLIA laboratory or other clinical diagnostics setting

• 5+ years of experience in a supervisory role within a CLIA Laboratory

• Prior use of laboratory management systems or the ability to learn these systems

• Demonstrated experience working within tight timelines for successful execution of project and program goals

• Demonstrated experience handling multiple tasks at once

• Ability to handle multiple tasks at once and work in a fast-paced environment while maintaining a professional demeanor

• Ability to collaborate, problem solve, and effectively communicate with other departments and colleagues via verbal and written correspondence

• Ability to work independently as well as collaborate with peers in a fast-paced and cross-functional results-oriented team environment

• Ability to work well under pressure while maintaining a professional demeanor

• Ability to prioritize and thoroughly follow up on assigned tasks

• Ability to adapt to changing procedures, policies and work environment

• Demonstrated attention to detail and strong organizational skills

• Excellent verbal and written communication skills

• Strong computer proficiency and data entry skills

• Understanding of HIPAA and importance of privacy of patient data
